Invoices built from the orders you already rang.

Commercial accounts with their own price level, their own running balance, partial payments and on-account billing, so month end is a review rather than a rebuild.

A commercial customer gets their own price level, their own running balance and their own invoice history. Nothing is rebuilt by hand at the end of the month, because the orders were already in the system.

Without account billing

Commercial work is where the paperwork eats the margin.

Hotels, salons, restaurants, gyms and short-term rentals are steady volume that arrives whether or not the retail counter is busy. The laundry is the simple half. The billing is what makes owners stop taking the work.

When the invoice is assembled from a stack of tickets at month end, the errors are invisible until a customer disputes one.

What commercial work looks like on paper and spreadsheets:

  • 01Invoices rebuilt by hand from a pile of tickets
  • 02Attendants ringing a commercial customer at retail pricing
  • 03Partial payments tracked on a spreadsheet beside the POS
  • 04No fast answer to what an account currently owes
  • 05A property manager who needs every unit billed on its own line

How it works

Set the account up once, then take orders normally.

The counter workflow does not change. What changes is what happens to the order after it is rung.

Step 01

Set the account up

Mark the customer as On Account, attach their price level and, if you want, block every other payment method so an attendant cannot ring them the wrong way.

Step 02

Take the orders normally

Drop-off comes in at the counter the same as anyone else’s. Account pricing applies itself and the order goes onto the account balance.

Step 03

Build the invoice

Pull one order or a whole month of them onto a single invoice, add a PO number and print notes on individual line items so the customer can bill it back internally.

Step 04

Take the payment

Apply a full payment, a partial payment or an overpayment, and charge a card or an ACH account kept on file for that customer.

What changes

What the store gets out of it.

Commercial volume becomes something you can take more of, because the work of billing it stops scaling with it.

At the counter

Account pricing applies itself

The attendant does not have to remember which customer gets which rate, and can be blocked from taking any other tender on the account.

At month end

The orders are already there

Every on-account order in the period drops onto one invoice with its own date and line items, ready to print or send.

In the office

You know what is outstanding

Accounts Receivable Balances, AR Payments and the Invoice List answer who owes what without opening a spreadsheet.

Line item notes are what make commercial invoicing work in practice. A property manager billing five units wants one invoice with each unit named on its own line, instead of five separate invoices to reconcile.

This system has made ownership much easier! I can get reports for each attendant and much easier to get reports I need to make real time decisions! Keeps better track of inventory than paper and pencil.

My wife and I put this system in our laundromat about 3 months ago. We are still finding new ways to help improve our effectiveness with our customers. We are so pleased with the system and all the new updates that have helped greatly to better serve our customers!

“Free Time” who wants some? This system has made more time for me. No more hand written laundry tickets with poor illegible writing that get lost.

I can pull up billing from my home computer or at the laundry. I can see exactly what was sold or what needs to be ordered. I can pull time sheets from the computer. I don’t have to go to the laundries to collect time cards or add them up any more. I can change prices or add new item tabs all with a click of a button.

I can see who is on the clock at each location and see just how busy they are with the order tracker. I can see which employee is completing the most laundry orders. This system is really the jack of all trades.

WDF POS was created by a laundromat owner with multiple stores that also have a robust drop off business. With such a depth of understanding of the business, it is no wonder WDF POS fits our high volume needs perfectly.

The cloud-based system was easy for our employees to learn and our customers appreciate the smoothness and professionalism of transactions. Training and customer service are the best around. New features are continually being added, and they are very responsive to feedback. I highly recommend it!

Questions

What owners ask about commercial accounts.

  • What is on-account billing in a laundromat POS?

On-account billing is a payment method where a commercial customer’s orders are added to a running balance instead of being paid at the counter, then invoiced and settled later. In Wash-Dry-Fold POS an account carries its own price level, its own balance and its own invoice history, and other payment methods can be blocked on it so an attendant cannot ring the order the wrong way.

  • Can commercial customers have their own pricing?

Yes. Each account is attached to a price level and that pricing applies itself when the order is rung, so nobody at the counter has to remember which customer gets which rate.

  • Can one invoice cover several orders?

Yes. Build an invoice from a single order or from every on-account order in a period, and each order appears with its own date and its own line items.

  • Does it handle partial payments and overpayments?

Yes. A payment can be applied for less or more than the invoice total, and the account balance carries the difference forward.

  • Can I bill one customer’s locations separately on the same invoice?

Yes. Notes print on individual line items, so a property manager with several units sees each unit named on its own line of one invoice.

  • Can I keep a card or bank account on file for an account?

Yes. A card or an ACH account can be stored on the customer record and charged against their balance when the invoice comes due.

  • What commercial reports come with it?

Accounts Receivable Balances, AR Payments, the Invoice List, Top Customers and an on-account breakdown inside the Financial Summary.
